Buy four properties over six years and you inherit four unrelated expiry dates. Each one is a separate booking, a separate trip, a separate invoice and a separate chance to forget. Grouping them is the single easiest saving available to a small portfolio landlord, and almost nobody does it.
The mechanism is the two month rule. A check carried out within the final two months of the existing certificate does not shorten the next twelve months, so you can walk dates forward until they meet, without ever losing cover.
How the alignment works in practice
Pick a target month. Usually the best choice is late summer or early autumn: appliances get looked at before winter, engineers are less stretched than in January, and any remedial work happens in mild weather.
Then, for each property, bring the next check forward into the permitted window nearest your target. Over one or two cycles the dates converge. Nothing is shortened, nothing lapses, and you end up with one annual appointment instead of four.
What grouping actually saves you
- Travel time, which is the largest variable cost in a single property visit.
- Administration: one booking conversation, one invoice, one set of records filed at once.
- Diary risk: one date to remember rather than several scattered through the year.
- Better slots, because a planned multi property run is scheduled ahead rather than squeezed in.
- The chance to bundle servicing on the same visit for appliances still under warranty.
Choosing the right month for your stock
If your properties are student or seasonal lets, align to the void period rather than the calendar, because an empty property is the easiest access you will ever get. If they are family lets with settled tenants, pick a month that avoids school holidays and Christmas.
Exposed rural or upland property is best checked before the first frosts, since the condensate and ventilation findings that matter are the ones you want fixed in October, not February.
How we run it for you
- Send the address list with current expiry dates, in any format.
- We map the alignment path and tell you which properties move and when.
- Each certificate is filed digitally under your own property reference.
- Reminders are issued thirty days before the grouped date.
- Multi property runs are quoted per property so you can see where the time goes.
Frequently asked questions
- Will bringing a check forward cost me part of a year?
- Not inside the final two months of the existing certificate. The new one runs from the previous expiry date, so the cycle stays a full twelve months.
- How long does it take to align four properties?
- Usually one or two annual cycles, depending on how far apart the dates start. Properties more than two months out of position move in steps rather than in one jump.
- Can servicing be aligned too?
- Yes, and for appliances inside a manufacturer warranty it should be, because the warranty depends on the service being done and recorded annually.
- Is grouping cheaper?
- For properties close together, yes, because travel is the cost that multiplies. Widely spread addresses save less, though they still save on administration and risk.
